Expected Hourly Commitment: Full-time, 30-40 hours/week (applicant’s choice)

Compensation: $26.00/hour (Non-negotiable)

Reports to: Operations Director

Schedule: Flexible schedule. ~80% remote with occasional in-person meetings or on-site tasks at office. First two months onboarding/training period may require a greater proportion of in-person work. Minimum 1 day/week in-office. Must be available [remotely or in person] during regular business hours a minimum of 20 hours/week.

Location:  Office is located in south Sacramento (95820). Office space in south Sacramento is available for you to use if/when preferred. [Must reside in the State of CA if doing any work from home].

Duties

The Accounts Receivable Specialist (A/R Specialist) is responsible for recording grant, contract and fund raising revenue into Sage Intacct accounting software, in accordance with GAAP, financial policies and relevant governmental rules; assisting with the preparation of financial reports; and additional administrative tasks as needed. The A/R Specialist works within the guidelines, policies and mission of Alchemist CDC, a 501(c)3 non-profit organization. 

Essential job functions include (but are not limited to):

  • Prepare financial reports monthly and upon request
  • Compile reimbursement grant invoices and related backup documentation on-time, according to multiple contracts’ specifications, which can vary greatly (different templates, different supporting document requirements, and different allowable/unallowable rules). 
  • Research and recommend accounts receivable procedures, planning, systems and controls
  • Generating customized/filtered expense and revenue reports according to program managers’ requests
  • Ensure A/R bookkeeping procedures are carried out according to established accounting policies and procedures 
  • Ensure that all revenue records for the organization are up to date and accurate
  • Carry out day to day A/R bookkeeping entries, e.g., input invoices, donations, payments received and in-kind contributions into accounting system
  • Track and input payouts received through online payment portals
  • Input check/cash revenue entries into CRM database
  • Regularly review customer account aging reports to identify overdue invoices and proactively reach out to customers regarding outstanding balances, and keeping relevant Program Managers informed.
  • Ongoing education and research on financial rules to stay abreast of changes in financial reporting laws and best practices
  • Work closely with bookkeeper and program managers to ensure accuracy of invoices and related reports
  • Notify senior staff of possible accounting errors
  • Perform regular account reconciliations to ensure accuracy of customer balances and identify any discrepancies.
  • Reviews all invoices and revenues for proper GL coding and job costing.
  • Additional administrative and clerical tasks as assigned

Additional responsibilities may include: 

  • Maintain accurate records for generating sales tax reports for 
  • Assist in maintaining the organization and retention of financial documents
  • Research and answer questions from staff regarding donor/funder payments

Minimum Qualifications:

  • Minimum 3-years’ of relevant professional experience in any combination of the following: bookkeeping, accounting, invoicing/financial reporting on govt. grants.
  • Strong grasp of non-profit bookkeeping principles
  • Strong computer skills including proficiency with MS Excel
  • Strong problem-solving skills 
  • Ability to interact effectively and respectfully with different kinds of people regardless of age, race, gender, sexual orientation, cultural background, etc.
  • Thorough and detail-oriented. Accuracy is very important. 
  • Ability to analyze data and present it to laypersons in an understandable manner
  • Ability to understand and adhere to invoicing requirements of multiple grants
  • Ability to communicate competently in written and spoken English 
  • High level of professionalism and ethics 
  • Demonstrated ability to handle confidential and sensitive information with professionalism and discretion
  • Ability to operate a 10-key numeric keypad by touch 
  • Ability to operate basic office equipment, e.g., computer, telephone, calculator, copier, printer, scanner, etc.
  • Ability to work at a computer for at least 6 hours a day x 5 days/week
  • Must have unrestricted work authorization to work in the United States

Preferred (but not strictly required) additional qualifications: 

  • Prior experience with Sage Intacct
  • Prior experience with non-profit bookkeeping in a professional setting
  • Practical and applied knowledge of GAAP and FASB accounting rules
  • Proficient with the following software and platforms:  
    • Google Suite, including: Gmail, Google Sheets/Docs/Meet/Calendar 
    • Adobe Acrobat Pro, X, Pro DC or equivalent PDF editor
    • MS Word and Excel
    • Dropbox
    • Experience with ADP reports/reporting systems
